Job Description

Office Assistant

We are seeking a highly organized and detail-oriented Office Assistant to join our team. Under the minimum supervision of the CEO, the Office Assistant will complete clerical and administrative tasks to help ensure smooth day-to-day operations. This position requires excellent communication skills, the ability to manage multiple priorities, and a professional, welcoming demeanor when interacting with clients. Responsibilities

- Return phone calls within 24 hours and respond to emails in a timely manner.

- Gather client information, add new clients to our system, schedule appointments, and verify billing information.

- Review new client paperwork daily and follow up with clients as needed.

- Maintain up-to-date insurance records for all therapists and track renewal dates.

- Order office supplies as needed to ensure a well-stocked and organized workspace.

- Follow up with clients regarding unpaid fees.

- Track and manage the renewal of licenses.

- File and organize documents, including maintaining digital files in Google Drive.

- Ensure the office remains clean and presentable.

- Greet clients warmly and help maintain a quiet, welcoming environment.

Qualifications

- Proficiency in Microsoft Word and Excel.

- Working knowledge of general office procedures.

- Strong organizational skills and attention to detail.

- Ability to communicate professionally with clients and staff.

- Must pass a background check.
