Job Title: Administrative Assistant (Temporary – LOA Coverage)

About the Role:
MAY Management Services is seeking a highly organized and personable Administrative Assistant to cover a maternity leave. This temporary position offers full-time hours and the opportunity to transition into a permanent role based on performance and business needs. As the first point of contact for homeowners, vendors, and visitors, the ideal candidate will be professional, detail-oriented, and comfortable handling a fast-paced, customer-facing environment.

Key Responsibilities:

• Greet and assist walk-in guests and direct calls to appropriate staff members
• Respond to homeowner inquiries via phone, email, and in-person with a focus on excellent customer service
• Manage incoming and outgoing mail, deliveries, and packages
• Maintain the front office area to ensure a clean, welcoming environment
• Assist with administrative tasks such as scanning, filing, data entry, and document preparation
• Support Community Managers with various project-based needs
• Coordinate vendor access and maintain visitor logs
• Track office supplies and coordinate orders as needed

Qualifications:

• Prior administrative or front desk experience preferred, ideally in property management or a similar professional services environment
• Exceptional communication and interpersonal skills
• Strong organizational skills and attention to detail
• Proficient in Microsoft Office Suite and comfortable learning new software systems
• Able to handle multiple priorities with professionalism and poise

Details:

• Temporary position to cover maternity leave (estimated 3–4 months)
